Job Description: Software & Services Sourcing Associate
We are seeking a detail-oriented Software & Services Sourcing Associate to support the sourcing, procurement, and vendor-management activities for software licenses, SaaS subscriptions, IT services, and professional services. This role partners with internal stakeholders, suppliers, legal, finance, and procurement teams to achieve cost-effective, compliant, and timely purchasing outcomes.
Experience
- 2–4 years of experience in procurement, strategic sourcing, vendor management, IT purchasing, or contract administration.
- Experience sourcing software, SaaS subscriptions, cloud services, consulting, or managed services preferred.
- Experience supporting RFIs, RFPs, RFQs, vendor evaluations, negotiations, and purchase-order processes.
- Familiarity with software licensing models, renewals, subscription management, and supplier contracts.
- Experience using procurement systems, contract-management tools, or ERP platforms is preferred.
Duties and Responsibilities
- Support sourcing activities for software, SaaS, cloud services, IT services, and professional services.
- Gather stakeholder requirements and assist in preparing RFIs, RFPs, RFQs, and vendor comparison analyses.
- Research suppliers, obtain quotations, evaluate proposals, and maintain vendor documentation.
- Assist with pricing, commercial terms, license quantities, renewal dates, and service-level requirements.
- Coordinate with legal, finance, IT, information security, and business teams during supplier onboarding and contract reviews.
- Track software renewals, purchase orders, contracts, savings opportunities, and supplier performance.
- Ensure purchases comply with procurement policies, budget requirements, and approval workflows.
- Maintain accurate sourcing records, contract repositories, and procurement reports.
- Support negotiations and identify opportunities to optimize spend, consolidate suppliers, and reduce risk.
- Respond to internal stakeholder and supplier inquiries in a timely, professional manner.
Skills and Qualifications
- Knowledge of procurement and sourcing processes, including RFP, RFQ, vendor evaluation, and contract administration.
- Understanding of software licensing, SaaS subscriptions, cloud consumption models, and IT-services procurement.
- Strong analytical skills, including the ability to compare quotes, evaluate total cost, and identify savings opportunities.
- Proficiency with Microsoft Excel, PowerPoint, Word, and procurement or ERP systems such as SAP, Oracle, Coupa, or Ariba.
- Ability to organize multiple sourcing requests, deadlines, contracts, and renewal schedules.
- Strong written and verbal communication, stakeholder management, and supplier relationship skills.
- Attention to detail, sound judgment, confidentiality, and a commitment to policy compliance.
- Ability to work independently and collaboratively in a fast-paced environment.
